Professional Email on Your Own Domain: How to Set It Up (and Why Now)

Imagine requesting two quotes for a renovation. One arrives from [email protected]; the other from [email protected]. Before reading a single line, you have formed an opinion — and so do your customers. Professional email is the cheapest credibility test there is: it costs less than a coffee per month and it is the first thing half your customers ever see of you.

And there is a harder reason than image: a @gmail address is not yours. Lose access, a policy change, an automated suspension — and years of customer conversations sit behind a door you do not control. It is the same argument as the domain and the website: your business should live on assets registered in your name.

What you need (it is less than you think)

  1. A domain. yourcompany.pt — in the €10–20 per year range. If you already have a website, you already have the domain, and this article costs you ten minutes of configuration.
  2. An email service connected to that domain. This is where the choices are.

The serious options

Google Workspace or Microsoft 365 — the professional standard. Each user gets their own mailbox, calendar and storage come along, and phones sync without drama. Cost in the range of a few euros per user per month (prices change; check current ones). For most businesses of 1–10 people this is the right answer and our default recommendation: reliable, familiar, and real spam filtering at the door.

The email bundled with your website hosting — tempting because it "comes free". It works, with an asterisk: deliverability and spam filtering on cheap hosting are visibly worse, and your emails landing in customers' spam folders cost more than the saving. Acceptable to start; over time, the few euros for a dedicated service pay for themselves.

Dedicated budget alternatives (Zoho and similar) — a dignified middle ground for those who want their own mailbox for less, with less polished interfaces. Valid for tight budgets.

The three addresses every business should have

Do not create an address per person per topic on day one. Start with the pattern that scales:

  • hello@ (or info@) — the public contact, the one on your website and your Google Business Profile;
  • yourname@ — yours, personal, for conversations and proposals;
  • forwarders for the rest: quotes@, invoices@ can begin as simple redirects into the main mailbox — zero cost, instant organisation.

The technical part that decides whether your emails arrive

A badly configured professional email is worse than Gmail: it lands in spam. Whoever sets up the service must activate three records on the domain — SPF, DKIM and DMARC. You do not need to memorise the acronyms; you need to ask one question of whoever does the setup: "are all three authentication records active?". If the answer is hesitant, find other help. (On the sites we deliver, this is part of the delivery — it is infrastructure, not an extra.)

The two mistakes that lock companies out

We see both often enough to put them in bold:

  1. The domain registered in someone else's name. The nephew, the old agency, the IT guy who has since vanished. When the renewal fails or the relationship sours, the email — and the website — die together. The domain is registered in the company's name, paid with the company's card, full stop.   2. One mailbox, one password, shared by everyone. An employee leaves, and either they keep access to everything, or the password changes and everyone's access breaks. Individual mailboxes cost little; clean-ups like these always cost more.

Migrating from Gmail without losing anything

The usual fear — "what about the old conversations?" — has a simple answer: serious services import your Gmail history during initial setup, and for a few months you keep a forwarder from the old address to the new one, with an auto-reply announcing the new contact. Six months later, the old address is history — and the new one is everywhere it matters.
